What Is Schedule Import?

Schedule Import lets you upload a clinic schedule and turn visible appointment rows into planned Vero encounters.

You can use it when you want to prepare the day ahead, create multiple encounters at once, or avoid manually entering each appointment from a schedule.

Important: Vero shows the extracted sessions for review before anything is created. You can edit, deselect, or correct rows before creating encounters.

What You Can Upload

You can upload:

CSV files
Screenshots or images of a schedule
PDF schedules

Schedule imports support up to 50 rows at a time. Uploaded schedule files must be under 15 MB.

Prepare Your Schedule

For best results, make sure the schedule clearly shows:

Appointment date
Appointment time
Patient name or appointment label
Brief context, reason, or prep details if you want them added to the encounter context

Vero only extracts information visible in the uploaded file. It does not invent missing details.

Import a Schedule

Open the encounter list in the left sidebar.
Hover over the relevant date heading in the sidebar and open its three-dot menu.
Click Import schedule.
Click Browse files, or drag a CSV, screenshot, image, or PDF into the upload area.
Review the extracted sessions, make any edits or selections, then click Create selected to create the encounters.

Review Extracted Sessions

Review patient matches before creating encounters. Attach an existing patient profile when the row belongs to a patient already in Vero. This helps avoid duplicate patient profiles and keeps future notes linked correctly.

After the schedule is parsed, Vero shows the extracted sessions grouped by date. Review each row before creating encounters.

You can:

Select or deselect rows.
Edit the appointment time.
Edit the encounter title.
Attach a patient profile when available.
Edit the encounter context.

When the rows look right, click Create selected. Vero creates the selected encounters and adds them to your encounter list.

Using the CSV Template

If you prefer a structured file, click Download CSV template from the Import schedule window.

The CSV template includes columns for:

Date
Time
Patient name
Context

Troubleshooting

No appointments were found.

Try uploading a clearer screenshot or a CSV with date, time, patient name, and context columns.

Some rows are missing a date, time, or patient match.

Edit the row before creating encounters. Rows without a usable date may not be selectable.

The file is too large.

Schedule upload files must be under 15 MB. Try exporting a smaller PDF, taking a clearer screenshot of one day, or using the CSV template.

There are more than 50 appointments.

Split the schedule into smaller imports with 50 rows or fewer.

Privacy Note

Only upload schedules you are authorized to use in Vero. Review extracted rows carefully before creating encounters, especially when the schedule contains patient information.
