Start a New Encounter
From the left sidebar, click New Encounter. Each encounter is a workspace for one patient visit, keeping recordings, transcripts, notes, uploads, chat, tasks, and generated documents together.
You can also use the quick-start button beside New Encounter to start with your most recently used note workflow.
Attach a Patient When Relevant
If the note should use patient profile details, attach the patient before generating the note.
Open the encounter.
Use the patient button in the encounter toolbar.
Search for an existing patient, create a new patient, or confirm the patient already attached.
When a patient is attached, Vero can use profile details such as name, pronouns, date of birth, sex, past medical history, medications, allergies, social history, and family history.
Add Source Material
Vero can generate a note from one source or from several sources together.
Record
Capture a live consultation or dictate after the visit. Click Record in the recording bar at the bottom of the encounter. Vero transcribes the conversation and uses it to generate the note.
To change your microphone, voice language, output language, or Telehealth Mode settings, use the waveform/settings control on the left side of the recording bar. The same panel includes the live transcript.
Type
You can type into the encounter before, during, or after the visit. This is useful for pre-charting, adding details you do not want to say out loud, pasting context, or giving Vero specific instructions for the note.
Uploads
Upload files that should be used as encounter context.
Documents - PDF, DOC, DOCX, and text files. Useful for referral letters, discharge summaries, admission notes, medication lists, and outside records.
Audio - MP3, WAV, and M4A files. Useful when you recorded an encounter in another app and want to upload it later.
Images - PNG, JPG/JPEG, and WEBP files. Useful for medication lists, handwritten notes, or forms.
Reference Notes
If enabled in Preferences, Vero can also use saved notes from the same encounter, or the most recent previous note for the same attached patient, as additional context.
Select a Template
Templates define the structure of your note.
In the recording bar, use the template dropdown near the Record/Create controls to choose the template for this encounter.
To browse, create, or copy templates, open Templates from the left sidebar. The Templates page includes your own templates, team templates when available, community templates, and PDF form templates.
Create Your Note
When you are ready, click Create in the recording bar. Vero combines the selected template, transcript, typed context, uploads, attached patient profile, Reference Notes settings, learned examples, clinician preferences, and note customization settings to draft the note.
Reference material helps Vero draft the note, but the current encounter and your current instructions should still drive the output. Always review the note before charting.
Edit Your Note
After the draft is generated, you can refine it in several ways:
Type directly - click into the note and edit it like a text editor.
Note customization - adjust detail level, quotes, abbreviations, bullets, and paragraphs, then regenerate when needed.
Dictate edits - use the microphone control in the toolbar to speak updates into the note.
Vero Chat - ask Vero to revise sections, summarize, reformat, draft patient instructions, create or switch note tabs, or answer questions using the note and encounter context.
Tasks - open the Tasks panel to review or create follow-up work from the note.
Extract from Note - when a patient is attached, use the patient panel to suggest patient profile updates from the generated note.
Learn - when a note reflects your preferred style, use Learn so future notes with that template better match your formatting and structure.
You are responsible for reviewing every note before it is used in the medical record or shared with a patient.
Export Your Note
When the note is ready, use the note toolbar to copy, export, print, download, or email it for your downstream workflow.
Copy - fastest for pasting into an EMR.
Export as PDF or Word - useful for records, sharing, or further editing.
Print - useful for paper workflows or browser print preview.
Email - available from the note toolbar when you have patient consent and a valid recipient.
