Privacy Commitment
At Vero, protecting patient data is a core product requirement.
No audio storage: Vero streams audio for transcription and does not keep raw audio recordings after processing.
No data selling: Your data is never sold or used to train Vero's proprietary AI models.
Healthcare privacy alignment: Vero is built to support healthcare privacy requirements, including HIPAA, PIPEDA, and PHIPA-aligned workflows where applicable.
Archiving Notes and Chats
You can remove notes and standalone chats from your left sidebar by archiving them. Archiving hides the item from your active sidebar, but it does not permanently delete it.
Single note or chat: Hover over the item in the left sidebar, open the item menu, and choose Archive.
Entire date group: Hover over a date heading, such as Today or Yesterday, open the date menu, and choose Archive.
Archived items are hidden from the active sidebar. You can restore them later from Account > Security > Archived.
Restoring Archived Items
To restore an archived note or chat:
Open Account from the left sidebar.
Go to Security.
Find the Archived section.
Select Unarchive beside the note or chat you want to restore.
Restored items appear in your sidebar again.
Deleting Notes and Chats From the Sidebar
You can permanently delete a note, chat, or entire date group directly from the left sidebar.
Single note or chat: Open the item menu and choose Delete.
Entire date group: Open the date group menu and choose Delete.
Vero shows a confirmation dialog before deleting. You can select Never show me this again if you do not want that confirmation to appear for future sidebar deletes.
Delete is permanent. Deleted notes, chats, and associated note data cannot be restored from the Archived section.
If a recording is in progress, stop the recording before deleting from the sidebar.
Permanently Deleting Archived Items
If you want to permanently remove archived notes and chats, open Account > Security > Archived and choose Delete all archived.
Deleting archived items is permanent and cannot be undone.
Deleting Patient Records
From the Patients page, you can delete a patient profile. Vero shows a confirmation before deletion.
Deleting a patient also removes that patient's associated encounters and notes. This action cannot be undone.
Automatic Deletion
You can configure Vero to automatically delete encounters after a retention window that you choose.
Open Account from the left sidebar.
Go to Security.
Find the Data retention section.
Turn on Automatically delete encounters.
Choose a timeframe between 1 and 365 days.
Automatic deletion helps enforce a retention policy without needing to manually clear old encounters.
Clear Encounters, Chats, and Uploads
If needed, you can wipe stored encounter and chat data at once:
Open Account.
Go to Security.
In Data retention, select Clear Encounters, Chats & Uploads.
This removes your encounters, generated notes, chats, messages, and uploaded files.
This action is permanent and cannot be undone.
Archive vs Delete
Archive: Hides a note or chat from your active sidebar and can be reversed.
Delete from sidebar: Permanently deletes the selected note, chat, or date group.
Delete archived: Permanently deletes archived notes and chats.
Delete patient: Permanently deletes the patient profile and associated encounters and notes.
Clear Encounters, Chats & Uploads: Permanently deletes stored encounter and chat data in bulk.
