Use this guide when Vero shows an error or an action does not finish. A safe retry may resolve an ordinary error; repeated failures and missing work need Support to investigate.
Start with one safe retry
Preserve unfinished work first
If recording, transcription, or saving is unfinished, keep Vero open. Pause recording if possible. Do not refresh, close, uninstall, or clear data while trying to recover unfinished work. Contact Support if processing or saving is stuck.
Retry only when your work is saved
Copy the exact error message and note the action that failed.
Check your internet connection.
Refresh or reopen Vero and retry the same action once.
If the same action fails again, stop retrying and ask Support to investigate in your existing conversation.
Check the action that failed
Use only the checks relevant to what you were doing. If you have already tried them, share the result with Support instead of repeating them.
Recording or microphone access
Recording or microphone access
Confirm Vero has microphone permission and the correct input is selected. If a recording segment could not be saved or transcribed, keep the encounter open and contact Support.
Uploading an encounter document
Uploading an encounter document
Check the file type and approximate size against Upload Documents. These checks apply to files attached to an encounter.
Creating a template from pasted text
Creating a template from pasted text
Use an Existing Note and Import a Template use pasted text in the template-creation flow. They are separate from uploading a document to an encounter. If template creation fails again after one safe retry, share the exact error and the creation method with Support; an encounter upload is not a replacement for that action.
Clinic networks and VPNs
Clinic networks and VPNs
Tell Support if the issue happens only on a particular clinic network or while using a VPN. Test a different connection only if your organization's policy allows it. Do not change network settings as a routine response to an unrelated template or formatting error.
Troubleshoot Learn and template changes
Learn is greyed out
Learn is greyed out
Wait for the note to finish loading or generating, then make a new edit in the note editor. Learn needs a change made since the note loaded or the last edit was submitted; resubmitting an unchanged note is disabled. Learn is available for text templates, not PDF forms. If Vero displays an access message, your account needs an active plan or remaining free usage.
“No reusable change found”
“No reusable change found”
This means Vero did not change the template. Your edit may be specific to this patient, already expressed in the template, or unclear as a reusable preference. Demonstrate a clear style or structure change and try again, edit the template directly and Save, or ask Fin in the support chat for help expressing the reusable change.
Learn fails or says the template changed
Learn fails or says the template changed
Keep the edited note and any unsaved work safe. If the message says the template changed during learning, review the latest template version before retrying. If it says a personal copy was created but learning did not finish, find and review that copy before trying Learn from it. If Vero cannot confirm what was saved, review the template and version history and ask Support if the result is unclear. After one safe retry, repeated failures should go to a support staff member.
My notes look different after the template changeover
My notes look different after the template changeover
The changeover migrates everyone’s templates automatically; you do not need to migrate or re-create them yourself. Learn now saves reusable changes into the template. Check that you are using the intended template and active version, including a personal copy when applicable.
To use an earlier template, open it in Templates, choose the earlier number from Version, review it, then click Save. This restores the template for future notes; it does not rewrite existing notes.
I am unsure whether my Chat template edit was saved
I am unsure whether my Chat template edit was saved
Check where the edit was made. Encounter Chat shows a saved version after a successful supported template edit. Chat inside the template editor applies changes that still need Save. Review the template and version before regenerating a note. See Template Basics.
If the template still needs adjustment, ask Fin in your existing support chat for focused steps or a suggested template instruction. Share the template version and the change you want; you can review and apply the suggestion in the template editor.
The template still does not produce the output I want
The template still does not produce the output I want
Ask Fin in the in-app support chat to help troubleshoot the template. Describe the expected result, what happens instead, the template version, and whether the issue started after Learn or the changeover. Fin can explain the steps and suggest instructions you can review and apply. If the output still contradicts a clear saved rule after focused troubleshooting, the team can investigate; you do not need to keep rewriting the same rule.
For missing or repeated headings, literal markers, unexpected formatting, or wrong section placement, keep an affected example and say where the issue appears: in Vero, after reopening, or after copying elsewhere. Include an encounter link when relevant; avoid pasting unnecessary patient information. See Vero Learn for the new workflow and changeover Q&A.
When Support needs to investigate
The same action still fails after one safe retry, including creating or importing a template, uploading, processing, or saving.
An error says internal error, processing failed, or audio processor blocked.
Recording, transcription, or saving is stuck, or a recording segment could not be saved.
A generated note uses the wrong language despite the selected Output Language.
An encounter is still missing after checking Search and Archived.
If you are already chatting with Vero Support, continue in that conversation and say what failed and what you already tried. You can ask for a teammate without starting another chat or repeating troubleshooting. A handoff does not guarantee an immediate reply.
What to send
The exact error message and the action that failed.
The approximate date, time, and time zone.
The affected encounter, template, or chat link.
Your device, browser or app version.
Any steps you already tried and what happened.
Share only details you have not already provided. Avoid unnecessary patient information. Never send passwords, verification codes, or authenticator codes.
Do not clear encounters or account data to troubleshoot an error or missing work. Ask Support to investigate first. If you are not already in a support conversation, see Contact Support.
